Before

A sales engineer reads specifications, searches previous offers and asks colleagues for missing details. The same context is assembled again for costing and approval.

Prepare the decision. Keep authority clear.

  1. Receive

    Record the RFQ and documents. Link every extracted requirement to its source.

  2. Resolve

    Retrieve permitted product data and comparable offers. Flag missing or contradictory requirements.

  3. Prepare

    Draft the technical response and proposed configuration using approved costing rules.

  4. Review

    A sales engineer checks feasibility, assumptions, price and exceptions before approval.

  5. Record

    Write approved fields to CRM or ERP with an audit record and duplicate-action protection.

Give the engineer something concrete to check.

Requirement register

Each extracted requirement carries its source, revision and proposed response. Missing tolerances, incompatible options and uncertain matches stay open.

Configuration and assumptions

Show the proposed product or bill-of-materials reference alongside the assumptions used. Comparable historical offers provide context, not automatic authority for today’s price.

Approval and write-back

Technical feasibility and commercial terms have separate approval owners. The final system action uses the approved version and records the resulting quotation ID.

Human controls

No unreviewed commercial commitment.

The system does not approve price, accept contractual terms or promise technical feasibility. Missing evidence and conflicting requirements route to the responsible person.

Measurement plan

Compare like-for-like work.

Compare similar product families and request complexity. Time the entire path from receipt to an accepted quotation, separating hands-on preparation, approval waiting time and corrections. Count proposals that reviewers reject or rebuild as part of the cost.

Baseline

Sample comparable RFQs and record elapsed time, engineering effort, corrections and exceptions.

Quality

Check requirement coverage, source accuracy, configuration validity and review effort.

Scale decision

Compare similar requests before and during the limited deployment. Expand only when the evidence shows reliable quality and less manual work.

Handover

A workflow the team can maintain.

Handover includes interface specifications, evaluation cases, approval rules and recovery procedures. Commercial authority remains with the manufacturer.
